The Scientific Coordination Office (SCO) of the Max Planck Institute for Intelligent Systems in Stuttgart is looking for an Assistant Event Manager (f/m/div), 50% to join our events and communications team. About us The Max Planck Institute for Intelligent Systems is a world leading research institute in artificial intelligence, machine learning, and robotics, located on two campuses in Stuttgart and Tübingen. The SCO provides support services and manages collaborations, graduate education, and outreach and public engagement, fostering groundbreaking research to positively impact the future. Your role You will be responsible for the organization and execution of internal and external events, from planning to logistics, administration, and finance. You will support community and alumni management, attendee management, and event website maintenance. In addition, the role includes responsibility for hybrid and virtual events, working closely with IT support to integrate video conferencing. You will work with a diverse and international group of researchers to organize workshops, conferences, and public events, and provide on-site support. You will also work with other administrative groups and have the opportunity to assist with other related tasks as needed. Your qualifications The ideal candidate will have A relevant qualification (e.g. degree or certificate) as an event manager, foreign language secretary, conference organizer, or hotel manager Fluency in both English and German (C1 level or higher) and excellent communication skills Strong project management skills and the ability to work independently or in a team on multiple projects simultaneously A friendly and confident attitude and intercultural competence Commitment to providing high-quality service and strong problem-solving skills Willingness to travel both domestically and internationally Proficiency with standard office software and willingness to learn new technologies Flexibility to adapt to changing priorities, deadlines, workloads, and needs Ability to represent the institute professionally Additional languages and previous experience in event / conference management are a plus Our offer As part of the SCO, you will join a motivated, international, and diverse team of approximately 25 members.
